Processing of Personal Data at Veterinarian Maja Guldborg (DVM, FIBFN, FACFN, IVAS & IVCA Certified)
1. General Information
1.1 Purpose
At Maja Guldborg, we continuously process various types of personal data about you — electronically and in other systematic ways — in connection with your status as a client. This is necessary in order for you to become and remain a client, and for us to be able to treat your animal(s).
We are legally required to inform you about what information we collect, register, disclose, or otherwise process about you.
The primary purpose of processing your data is to manage everything related to consultations and treatments for your animal(s) — including administration of appointments, treatment processes, services provided, and related obligations.
1.2 Data Controller and Contact Information
Veterinarian Maja Guldborg is the data controller for the information processed and is, under data protection law, responsible for ensuring that your personal data is handled lawfully.
All data is processed in accordance with current data protection legislation and any other applicable law.

2. Processing of Personal Data
2.1 Client Records
When you contact us, we create a file for you and your animal(s) in our electronic client system.
We register identification details for your animal(s) and contact information for you as the owner — including your name, address, phone numbers, and email address.
During the course of treatment, journal notes and other relevant information (such as insurance details) are continuously recorded.

2.2 Emails
We centrally log all emails sent to and from Maja Guldborg, including sender, recipient, and timestamps.
If you consent, you may also receive appointment reminders by email.
Legal basis: GDPR Article 6(1)(b).
2.3 Calendar System
Our electronic calendar stores appointment information, including your name and relevant animal identification details.
Legal basis: GDPR Article 6(1)(b).
2.4 Payment
Our payment system is integrated with the client records, meaning your personal information is processed according to Section 2.1 above.

3. Storage, Transfer, and Disclosure of Data
3.1 Storage
Your information is stored at our business address.
Some data is also stored by our external data processors, for example for IT hosting, software backup, and security purposes.
All such processing is covered by written data processing agreements to ensure compliance with Danish data protection law and to prevent unauthorized access.
In some cases, data may also be shared with our legal or accounting advisors if necessary for a specific case involving you.
3.2 Disclosure
We may disclose relevant personal data about you and your animal(s) to insurance companies when required for processing claims or similar matters.
3.3 Data Deletion
There are no fixed statutory rules on when personal data must be deleted in client relationships.
Data is deleted when it no longer serves a legitimate purpose.
As a rule, client data will be kept for at least five years after the client relationship ends, to maintain necessary documentation.
According to the Danish Veterinary Association’s ethical code, original records, X-rays, and ultrasound images must be retained for a minimum of five years by the veterinarian who created them.
Any data not required for administrative or legal reasons will be deleted as soon as there is no longer a valid purpose for retention.
4. Your Rights
4.1 Right to Information
You are entitled to know what personal data we collect and how we process it.
If we process data beyond what is described here, you will be informed separately.
4.2 Right of Access, Correction, and Deletion
You have the right to access the personal information we hold about you.
You may request that we correct, restrict, or delete data if it is inaccurate or misleading.
Veterinary businesses are not legally required to keep journals, but members of the Danish Veterinary Association must comply with its Ethical Code, which includes:
- Keeping a record for quality assurance and insurance purposes.
- Providing copies of records or diagnostic images to other veterinarians or to the registered animal owner upon request.
- Not providing such copies to others except the animal’s owner.
If you have given consent to data processing, you may withdraw it at any time. However, we may still process your data if another lawful basis applies.
